Generic appointment-booking widgets treat every visit the same. Chiropractic doesn’t work that way: a new patient needs a 60-minute slot, an established patient needs 15 minutes, and a re-eval needs 30. Self-serve booking
- Patient picks “new patient” or “returning patient” — different slot lengths surface accordingly.
- They choose their preferred doctor (or “first available”).
- They choose a service type (initial consult / adjustment / re-eval / decompression / massage), which gates the slot length.
- They see actual available times (not “tomorrow afternoon” placeholders).
- They confirm contact details, optionally accept a deposit policy for premium slots, and book.
The whole flow is mobile-first — 70% of bookings happen on phones.
Smart routing rules
- New patients are gated to require intake-form completion before the slot is locked. (No-show rates drop dramatically when intake is pre-completed.)
- Established patients can self-book without re-doing intake.
- Re-evals auto-suggest the right interval based on care phase.
- Webster / sports patients see only the correctly certified DCs.
- Deposit-gated premium slots (Saturday mornings, last-of-day) can collect a refundable deposit to protect high-demand times.
Reminders that cut no-shows
Once a visit is booked, a staged reminder sequence fires automatically:
- 24 hours before — confirmation with one-tap reschedule
- 2 hours before — “see you soon” with directions / parking
- 15 minutes before — final nudge
Every reminder is HIPAA-aware — it names the time, never the diagnosis.
No-show recovery — same-day, automatic
Most no-shows aren’t intentional. The patient overslept, got stuck in traffic, or forgot. The longer you wait to reach them, the lower the recovery rate.
- T+15 minutes: Patient is marked no-show. A friendly text fires — “Hey, looks like we missed you today. No worries — let’s get you rescheduled.” Includes a one-tap link to their doctor’s next 5 open slots.
- T+60 minutes: If no reply, the AI receptionist places a warm outbound call, helps them rebook, and captures the reason (sick, work, traffic, forgot).
- T+24 hours: A final email with one-tap rebook. After that, the patient flows into the database-reactivation sequence.
Same-hour outreach recovers no-shows at dramatically higher rates than next-day follow-up — typically a 70%+ same-day rebook rate.
